Executive Assistant to the COO

This position will provide executive support in a fast-paced environment. A successful Executive Assistant will bring 7+ years executive level experience, be detail oriented and a self-starter, have excellent technology skills and the ability to multi-task, prioritize and anticipate needs and work well under pressure. Description of Duties • Manage daily workflow of the COO including scheduling appointments, maintaining calendars, telephone, department and group meetings, expense reports, files, etc. • Manage the administrative needs of the COO. • Manage logistics for the Board of Directors meetings and activities as well as other events as needed. • Prepare, assemble and publish Board of Directors & Executive Committee meeting materials. Take meeting minutes. • Interface with the CEO, Executive Assistant to the CEO and board members to ensure Board related activities are handled professionally, effectively and timely. • Proactively and professionally screen telephone calls, e-mail and visitors. Use initiative and independent judgment to respond to requests, provide information and resolve issues. • Prepare highly confidential reports, correspondence, etc. • Meeting set-up and tear down for internal and external meetings • Plan and coordinate detailed travel arrangements.
Specifications • Seven plus years administrative experience supporting a high-level executive and a board is required • Proven ability to manage and prioritize calendars and e-mails through Outlook • Advanced computer skills in Microsoft Office (Word, PowerPoint, Excel, Outlook, etc.); database experience required, Adobe Professional • Proactive; takes initiative and demonstrates ability to anticipate and manage issues • Exceptional flexibility and proven ability to reprioritize work and schedules as needed • Exceptional interpersonal skills and proven ability to effectively communicate and interface with executives, including the CEO, Board of Directors and others both internally and externally • Exceptional grammar, writing, and communication skills • Excellent organizational skills with strong attention to detail • Exceptional time management, prioritization and project management skills. Capable of handling a variety of projects simultaneously (mostly self-directed) in a timely manner to meet deadlines • Exhibits confidentiality in handling information that may impact the entire organization • Ability to utilize discretionary decision-making • Strong problem solving and follow up skills; must be proactive and take initiative • Experience coordinating travel, scheduling meetings, maintaining calendars and expense reporting
